For this bid we are seeking a Project Assistant - Design and Design Supervision Kaunas-Polish border.

Responsibilities:


  • Meet regularly with the Project Manager to provide project updates and share relevant information and perform project and other administration tasks, which typically include production and distribution of documents, file management, data collection, report creation, proofreading, research and team collaboration.
  • Assist in the preparation of progress reports and power point presentations.
  • Attend project meetings / workshops to take minutes, collect information and prepare correspondence for participants.
  • Design and editing materials to support project’s administrative issues by laying out reports, presentation, agendas, etc.
  • Perform document quality control, monitor status, ensure timely follow-up of issues, and report progress and bottlenecks to Project Manager.
  • Prepare, checking and updating detailed monthly reports.
  • Organise project workshops, including hotel and travel bookings, catering arrangements, administration and registration of attendees and resolving logistical issues during the workshop.
  • Review and processing all requests assigned by the Project Manager for all technical services such as letter drafting and other correspondence to external bodies as per prevailing policies and procedures in order to facilitate all necessary documentation are processed in a timely, accurate and efficient manner.
  • Maintain, updating and issuing status reports for all submittals, drawings and reports, highlighting required due dates, days overdue and status, to focus attention on potential delays and to ensure the contractual review periods are met.
  • Attend coordination meetings, drafting Minutes of Meeting, circulating for comment, finalizing the draft then issuing to attendees and follow up on actions.



Compétences
Qualifications:

  • University degree in Engineering or Business Administration or equivalent.
  • At least 5 years' professional experience as Project Assistant and/or Document Controller.
  • Knowledge in Project Document Management Systems.
  • Relevant experience in the construction industry in project administration, support, reporting and taking meeting minutes.
  • Proficiency in English - B2 level minimum and excellent communication skills, written and verbal, are essential to success in this role as well as Lithuanian on a native level.
  • Advanced MS Office Applications, Share Point Online, Document Management Software.
  • Experience with Primavera P6 software preferable.
  • Strong team-oriented working capability is required.
  • Excellent personal administration skills (taking of minutes, conducting presentations, working to agreed deadlines etc.).
  • Willingness to relocate to Baltic countries for at least 2 years.
