We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
• Maintains office services by organizing office operations and procedures, controlling correspondence, ensure supply requisitions, ordering stationery and equipment.
• Schedules meetings and appointments.
• Takes care of visits, booking hotels, transportation, and others.
• Manages the data box, mobile phones, entrance cards, etc.
• Builds and manages relationships with clients, manages contract and price negotiations with office vendors and service providers.
• Liaises with 3rd parties partners when necessary.
• Maintains the office condition and arrange necessary repairs.
• Organizes office operations and procedures.
• Coordinates with IT & Financial department on all office affairs.
• Provides general support to visitors. / Greet visitors and administrate protocol.
• Assists in the onboarding/offboarding process.
• Plans company’s activities, like parties and conferences / Participate actively in the planning and execution of company events.
• Ensure security, integrity, and confidentiality of data.
• Proven experience as an Office Manager
• Knowledge of Office Administrator responsibilities, systems and procedures
• Strong customer service orientation
• Attention to detail and problem-solving skills
• Strong organizational and planning skills
• Excellent communication and time management skills and ability to multi-task and prioritize work
• Proficiency in MS Office
• Familiarity with email scheduling tools
• Professional proficiency in English.
